A missing-document list is easy to start and hard to manage. This scorecard gives a small tax office one place to see what was requested, who owns the next follow-up, which language the client prefers, and what is still missing.
What the tool does
- Creates a simple row for each client matter and requested document.
- Separates status into Not requested, Requested, Received, Needs review, and Complete.
- Records an owner and next follow-up date so open requests do not live only in someone's memory.
- Keeps English and Spanish request labels paired without mixing the two into one unclear note.
- Produces a review-ready summary of open items by client matter, owner, status, and follow-up date.
This is an internal workflow helper. It does not decide which documents a client needs, interpret tax rules, determine eligibility, or replace your tax software, engagement process, or professional judgment.
When to use it
Use it when a return is waiting on documents, when several preparers share follow-up work, or when a bilingual client needs a clear request in their preferred language. Start with one active week of requests. Assign an owner to every open item, use a specific next-action date, and close the row only after the office has reviewed the received document.
Inputs
- Matter reference used by your office
- Document label in English and, when needed, native Spanish wording
- Request date and next follow-up date
- Assigned owner
- Status and a short operational note
- Client language preference, if your process collects it
Do not enter Social Security numbers, bank details, full tax-return data, passwords, or other unnecessary sensitive information. Use the matter reference your existing process allows and keep source documents in your approved secure system.

- A completion view showing which rows still need office review
The scorecard is a visibility layer. Your office remains responsible for deciding what to request, reviewing what arrives, protecting client information, and recording the final decision in the appropriate system.
